Note to Participants and Interested Parties concerning upcoming bid release:

Many of you have been contacting our office concerning the expiration or pending expiration of many of the Alabama K-12 Joint Purchasing Contracts.  Please be aware that we are working on improving our current bid document and requirements to meet the needs of the participating schools, school systems and other eleemosynary entities that are qualified to purchase from resulting contracts. Interested entities should know that the Alabama Department of Education, as the assigned administrator of the program, does not charge any participant or vendor to administer the program, unlike many other similar State contracts around the nation.  Our staff and time is are limited and we are working to make sure we improve the process that helps our participating schools to self-monitor their individual purchases through the ALJP program contracts.  This process and the related procedures are under review and development and are to be included up front in each new bid release.  This may mean that a specific product line contract that has or will expire soon may be included within the upcoming bid package but may not be awarded the day after the current contract for that specific expired or will expire.  It is very important to us to provide contract(s) for needed IT products to our schools for their convenience, however, it is very important to follow the required bid process and improve the ALJP purchasing experience for them and the awarded contract holders.  We do not want to rush the process at the expense of quality contracts and competition.  This may mean that previous product line contracts may be delayed, leaving a period of the specific product not being available.

Please be patient with us in this matter and review the contract listed below taking note of the End Date of the contract.  Most contracts under the ALJP2009 series will expire soon and they are our focus along with several possible extendable contracts that will better serve the applicants under the next set of procedures to be developed in the next bid release. 

We do plan on releasing a new bid series by June 1 and expect to give interested bidders ample time to review the bid specifications and provide quality responses that meet the requirements. 

If you are a participating school and are looking to purchase from these expired/expiring contracts please be aware that there may be a period that a contract is unavailable, but we do expect to get a replacement for that requested product line soon.  Your LEA/School System level Technology Coordinator should have completed an online form requesting the product line you are hoping to purchase from.  They have an online form to complete that requires authentication.  If they have questions concerning access to that form, they should contact the ALJP administrator.  Also, keep a close watch on the ALJP website for more information.

If you are a contract holder currently holding an ALJP product line contract that is set to expire as shown in the End Date field on the ALJP website “Current Contracts”, then that product line is under evaluation for re-bid or extension (if applicable).  All ALJP2009 series product line contracts are to be re-bid, and those vendors holding those contracts who wish to participate in the competitive bidding process for new product line contracts, will have to wait for the upcoming release.

Previous, current and unlisted product lines are under consideration for the upcoming release.  Vendors interested in being a contract holder for specific products should know that these product lines are requested by the participating School System Level Technology Directors.  Other participants such as Colleges/Universities and other eleemosynary participants may email their product line requests to the ALJP administrator. 

Companies or Resellers SHOULD NOT CONTACT THE ALJP ADMINISTRATOR TO REQUEST A NEW PRODUCT LINE OR VERIFY THEIR CURRENT CONTRACTED PRODUCT LINE WILL BE CONTINUED.  YOU SHOULD CONTACT THE SYSTEM LEVEL TECHNOLOGY COORDINATORS AND ASK THEM TO EXPRESS THEIR NEED THROUGH THE ONLINE FORM SET FOR THAT PURPOSE.  CALLS AND EMAILS FROM VENDORS REQUESTING THIS INFORMATION TO THE ALJP ADMINISTRATOR DELAY NEW BID DEVELOPMENT AND ARE NOT HELPFUL TO THE PROCESS.   (5/4/2012)
